The Illiez Card is the digital guest card of Region Dents du Midi (hereinafter “RDDM”). For visitors staying in the region to benefit from it, accommodation providers must register their guests on the checkin.rddm.ch platform. These T&Cs govern the use of this platform by accommodation providers.
Art. 1 – Purpose and scope
The Checkin platform (checkin.rddm.ch) is a tool made available by Region Dents du Midi SA (hereinafter “RDDM”) to partner tourist accommodation providers operating in the Vallée d’Illiez. It enables accommodation providers to register their guests’ stays, generate the associated Illiez Cards and fulfil their legal obligations to declare overnight stays.
These T&Cs apply to any accommodation provider using the Checkin platform, whether a hotel, holiday apartment, chalet, bed & breakfast, campsite or any other form of tourist accommodation subject to the tourist tax in the municipalities of Champéry, Val-d’Illiez or Troistorrents.
Use of the platform constitutes full and unreserved acceptance of these T&Cs.
Art. 2 – Platform access
2.1 Account creation
Access to the Checkin platform is conditional on the opening of an accommodation provider account by RDDM. The accommodation provider receives their login credentials by email at the address provided when registering with the relevant municipality or Tourist Office.
The accommodation provider undertakes to:
- Keep their login credentials confidential
- Not share their access with unauthorised third parties
- Notify RDDM without delay in the event of loss, theft or fraudulent use of their access credentials (illiezcard@rddm.ch)
2.2 Access levels
The Checkin platform is accessible to several types of users, each with distinct rights:
- The accommodation provider has full access to their account: registering and modifying stays, managing Illiez Card holders and validating overnight stay records. They are solely responsible for the use made of their account.
- RDDM staff have management access enabling the coordination of accommodation provider accounts and the registration of offers and benefits included in the Illiez Card, but cannot view the personal data of guests in residence.
- The municipal administrations (Champéry, Val-d’Illiez, Troistorrents) have limited access to the management of accommodation provider accounts in their territory and to the retrieval of overnight stay records for tourist tax billing purposes.
- The Dents du Midi intermunicipal Police (PIDM) may obtain access to data upon formal request, exclusively within the framework of its legal powers as defined in Art. 4.3.
- Real estate agencies and hotel chains may, depending on the available technical configuration, manage multiple establishments.
Read-only access may be granted to third parties designated by the accommodation provider, upon their express request to RDDM. This access does not allow the creation, modification or deletion of stays or data. The accommodation provider remains responsible for any consultations carried out within this framework.
2.3 Platform availability
RDDM endeavours to ensure platform availability 24 hours a day, 7 days a week. Service interruptions may however occur for maintenance, update or force majeure reasons. RDDM cannot be held liable for the consequences of a temporary unavailability of the platform.
Art. 3 – Obligations of the accommodation provider
3.1 Registration of stays
The accommodation provider is required to register each stay on the Checkin platform as promptly as possible, and no later than the guest’s day of arrival. This registration is a prerequisite for the generation of the Illiez Card and the correct calculation of the tourist tax.
The accommodation provider is solely responsible for the accuracy of the information entered. Any error or omission in the registration of a stay remains their responsibility.
3.2 Declaration of overnight stays
Use of the Checkin platform contributes to the accommodation provider’s legal obligation to declare overnight stays, in accordance with the Valais Law on accommodation, catering and retail sale of alcoholic beverages (LHR, RS/VS 935.3) and applicable municipal regulations. The accommodation provider nonetheless remains solely responsible for complying with these obligations towards the competent authorities.
3.3 Providing the Illiez Card to guests
The accommodation provider ensures that each registered guest has access to their Illiez Card during their stay, either by inviting them to download their card via the link sent automatically by the platform, or by providing them with a printed version. If the accommodation provider does not carry out this registration, RDDM will not be able to provide cards to their guests, except in exceptional circumstances.
3.4 Keeping information up to date
The accommodation provider undertakes to keep their contact information, accommodation capacity and any other relevant parameters up to date for the proper functioning of the platform. Any significant change (change of owner, temporary closure, change of capacity) must be communicated to RDDM as promptly as possible.
Art. 4 – Processing of guests’ personal data
4.1 Data collected
In the context of registering stays on the Checkin platform, the accommodation provider is required to enter the following personal data concerning their guests:
- Surname and first name (if provided) of the booking contact
- Language spoken
- Email address
- Address of residence and country of origin (if provided)
- Stay dates (day of arrival and day of departure)
- Room or unit number (if provided)
- Number of adults and children, with indication of persons exempt from tourist tax (if applicable)
4.2 Respective responsibilities
The accommodation provider acts as data controller within the meaning of Art. 5 let. j of the Federal Act on Data Protection (FADP). By entering their guests’ data on the Checkin platform, they appoint RDDM and its technical subcontractor Omnisoftory as processors for the purposes described in Art. 4.3.
The accommodation provider guarantees that they have a valid legal basis for transmitting this data to RDDM (prior information to guests, legitimate interest linked to the performance of the accommodation contract and the legal obligations to declare overnight stays).
4.3 Strict purpose of processing
The data transmitted by the accommodation provider is used exclusively for the following purposes:
- Generation, personalisation and dispatch of the Illiez Card to beneficiaries
- Verification of eligibility and validity period of the card
- Transmission of documents in the beneficiary’s language
- Compliance with legal obligations regarding the declaration of overnight stays (Valais LHR)
- Identity verification of beneficiaries by partner service providers when accessing services
- Collection of anonymised data to produce overall overnight stay statistics for the territory
This data may under no circumstances be used for commercial, prospecting or profiling purposes by RDDM or Omnisoftory.
Only the accommodation provider may view their guests’ personal data from their Checkin account. RDDM does not have access to this data.
Exceptionally, the Dents du Midi intermunicipal Police (PIDM) may request access to this data from Omnisoftory, within the framework of its legal powers regarding the monitoring of persons staying in the territory, in accordance with the Valais Law on accommodation, catering and retail sale of alcoholic beverages (LHR, RS/VS 935.3, art. 15) and the Valais Law on commercial police (RS/VS 930.1, art. 6f and 6g).
4.4 Data retention and deletion
Guests’ personal data is retained for a maximum period of 3 years from the end date of the relevant stay, in accordance with the principle of storage limitation set out in Art. 6 para. 4 FADP. Upon expiry of this period, the data is deleted or anonymised in an irreversible manner.
The accommodation provider may request the early deletion of a specific guest’s data by sending a request to illiezcard@rddm.ch.
4.5 Security and confidentiality
RDDM and Omnisoftory undertake to implement appropriate technical and organisational measures to ensure the security, confidentiality and integrity of the data transmitted, in accordance with Art. 8 FADP. Access to the data is strictly limited to authorised persons within the framework of the purposes described in Art. 4.3.
4.6 Rights of data subjects
Any guest whose data has been entered on the platform may exercise their rights of access, rectification, erasure or portability by contacting either the accommodation provider (data controller) or RDDM directly at illiezcard@rddm.ch.
4.7 Technical subcontracting
The accommodation provider is informed and accepts that Omnisoftory, RDDM’s technical service provider for the EasyCheckin solution, acts as a further processor for the data processing described in this article. This processing is governed by a subcontracting agreement compliant with the requirements of the FADP.
Art. 5 – Pricing and billing
5.1 Platform access
Access to the Checkin platform is provided to accommodation providers free of charge. No activation, subscription or usage fees are charged by RDDM for the registration of stays and the generation of Illiez Cards. This free access is conditional on compliance with these T&Cs; RDDM reserves the right to revoke it in the event of a serious or repeated breach of the accommodation provider’s obligations.
5.2 Interfaces with hotel management software (PMS)
To facilitate the declaration of stays, RDDM covers the development and maintenance costs of interfaces between the Checkin platform and available hotel management software (PMS). This coverage is limited to the interfaces actually offered by the Checkin platform at the time of use.
Any fees charged directly to the accommodation provider by their PMS software provider in connection with the activation or use of this interface remain the exclusive responsibility of the accommodation provider. RDDM cannot be held responsible for the commercial terms applied by third-party providers.
5.3 Tourist tax
The Checkin platform does not handle the billing of the tourist tax. This responsibility rests exclusively with the relevant municipal administrations (Champéry, Val-d’Illiez, Troistorrents), in accordance with the applicable municipal regulations.
The overnight stay records entered by the accommodation provider in the Checkin platform serve however as a reference basis for the municipalities to determine the tourist tax amount invoiced to the accommodation provider. The accommodation provider must therefore ensure the accuracy and completeness of the stays declared, as any omission or inaccuracy may result in a correction by the competent municipal administration.
Art. 6 – RDDM’s liability
RDDM makes the Checkin platform available as is, without any guarantee of freedom from errors or interruptions. Its liability is limited to malfunctions directly attributable to the platform and does not cover the consequences of incorrect data entry by the accommodation provider, a network failure or a force majeure event.
RDDM reserves the right to modify the platform’s features at any time, in particular for technical or regulatory reasons, without this giving rise to any right to compensation on the part of the accommodation provider.
Art. 7 – Suspension and termination of access
RDDM reserves the right to suspend or terminate an accommodation provider’s access to the platform in the following cases:
- Non-compliance with these T&Cs
- Entry of manifestly inaccurate or fraudulent data
- Cessation of activity or withdrawal of the accommodation provider’s tourist accreditation
- Non-payment of tourist taxes owed to the partner municipalities
In the event of termination, the data entered by the accommodation provider is retained for the period provided for in Art. 4.4, then deleted.
Art. 8 – Amendments to these T&Cs
RDDM reserves the right to amend these T&Cs at any time. Accommodation providers are notified of any amendments by email to the address registered in their account. Continued use of the platform following notification constitutes acceptance of the new conditions.
Art. 9 – Applicable law and jurisdiction
These T&Cs are governed exclusively by Swiss law. Any dispute relating to the use of the Checkin platform shall be subject to the jurisdiction of the competent courts of the Canton of Valais (Switzerland). Only the French-language text shall be authoritative in the event of any discrepancy between the language versions.
